What dental clinic software actually costs in India.
Every vendor quotes a monthly figure. Almost none of them quote the five-year one, and the gap between those two numbers is where most Indian dental practices lose lakhs without noticing. This page lays out the real pricing bands, the six charges that never appear on the quote, and what the same five years costs if you own your clinic's app instead of renting it.
The pricing bands, in one table
Indian dental software is sold in four shapes. These are the bands we see quoted to clinics in 2026 — ranges rather than named vendors, because published prices change constantly and most are quote-on-request anyway. Ask any vendor to place themselves in this table; the good ones will.
| Model | Typical buyer | Price | 5-year total | What to watch |
|---|---|---|---|---|
| Entry subscription | Single-chair clinic | ₹3,000 – ₹8,000 / month | ₹1,80,000 – ₹4,80,000 | Admin software only. Patient app usually costs extra. |
| Mid-tier subscription | 2–4 chairs, one branch | ₹8,000 – ₹15,000 / month | ₹4,80,000 – ₹9,00,000 | Patient app often bundled; commission on sales is common. |
| Premium / multi-branch | Chains, 5+ chairs | ₹15,000 – ₹22,000+ / month | ₹9,00,000 – ₹13,20,000+ | Per-user or per-chair add-ons stack quickly. |
| Custom build, from scratch | Clinics wanting to own it | ₹2,50,000 – ₹8,00,000 one-time | ₹2,50,000 – ₹8,00,000 + hosting | You own the result. Long timeline, high upfront. |
| Nova — Dental Edition | Clinics wanting to own it | ₹90,500 one-time + ₹1,500 / month | ₹1,80,500 | Productised dental build. Zero commission. Live in under 6 weeks. |
Ranges are indicative of quotes seen in the Indian market and are intended for comparison, not as a quote from any named vendor. Your own figures will differ with chair count, branch count and add-ons.
Six costs that never make it onto the invoice.
The monthly fee is the part you negotiate. These are the parts you find out about later.
Commission on what you sell
A percentage of every membership plan, aftercare product and consult booked through the app. On a clinic doing ₹2 lakh a month through the platform, a 3% cut is ₹72,000 a year that never appears on the software invoice.
The patient app, sold separately
Plenty of quotes cover only the admin software. The patient-facing mobile app — the part that actually fills chairs — is a second line item, or a second vendor.
Per-message reminder charges
SMS and WhatsApp reminders billed per send. A clinic seeing 40 patients a day with two reminders each is roughly 2,400 messages a month.
Onboarding and data migration
A one-time fee to load your existing patient list. Ask what it costs to get that data out again, and in what format — the answer tells you how much lock-in you are signing up for.
Annual escalation
A clause raising the fee 8–15% a year. It rarely comes up in the demo. Over five years it is the difference between a ₹10 lakh and a ₹13 lakh commitment.
The exit cost
Not a fee — the loss. Patient list, treatment history, reviews and app installs, all gone the month you stop paying. This is the cost nobody quotes, and the only one that is unrecoverable.
Your five-year total, whatever you pay today.
Set the slider to your current monthly software spend. The comparison is against Nova — Dental Edition at ₹90,500 one-time plus ₹1,500 a month for hosting and support.
Straight-line maths: your current monthly fee × 60 months, with no annual price rise assumed — most subscription vendors raise theirs. The owning figure includes every rupee of mandatory maintenance for the full five years.
Rent, build from scratch, or buy something already built.
Most clinics believe there are two choices: subscribe forever, or commission a custom app for several lakh. There is a third. Nova is a dental app that already exists — booking, store, memberships, records, owner console — so your build is a configuration and branding exercise, not a project from zero. That is what brings an owned app to ₹90,500 and a six-week timeline.
Subscribe
Cheapest in year one. Most expensive by year three. Commission on sales, price rises written into the contract, and nothing of your own at the end of it.
Build from scratch
₹2.5–8 lakh and four to nine months. You own the result, but you are also the one specifying a dental app from a blank page, and paying for every revision.
Buy one already built
₹90,500 and under six weeks. The dental product exists; your clinic's branding, treatments, dentists and care plans go into it. You own the apps, the listings, the cloud and the data.
Nine questions worth asking any vendor.
Including us. A vendor who answers all nine without hesitating is a vendor worth shortlisting.
1. Is the price per clinic, per chair or per user?
This determines whether your software bill grows as your practice does.
2. Do you take any percentage of my revenue?
Bookings, store sales, membership plans, online payments. Get it in writing.
3. Is the patient mobile app included, or extra?
And is it my clinic's listing, or my clinic inside your app?
4. Are reminders charged per message?
Multiply by your daily patient count and two reminders each.
5. What is the annual escalation clause?
If there is none, ask for that in writing too.
6. Who holds the cloud credentials?
If the answer is not “you do”, you are a tenant, not an owner.
7. How do I export my data, in what format, and what does it cost?
The answer is the true measure of lock-in.
8. Where is patient data stored, and under whose account?
Relevant to India's Digital Personal Data Protection Act, and to your peace of mind.
9. What happens to my app and my patient list if I stop paying?
Ask them to describe it step by step. The pause before the answer is informative.
Dental software pricing, answered.
How much does dental clinic software cost in India?
Most dental practice management software in India is sold as a monthly subscription between ₹8,000 and ₹22,000 per clinic per month, with entry-level single-chair plans starting lower and multi-branch plans running higher. Over five years that is roughly ₹4.8 lakh to ₹13.2 lakh, before add-ons. A one-time owned build such as Nova — Dental Edition is ₹90,500 plus ₹1,500 a month for hosting and support, or ₹1,80,500 over the same five years.
Is dental software priced per clinic, per chair or per user?
All three models exist in India, and this is the single biggest reason quoted prices are hard to compare. Per-clinic pricing is predictable. Per-chair and per-user pricing look cheap on a one-dentist practice and get expensive precisely as you grow — every new associate, hygienist or receptionist adds to the bill. Always ask which model a quote uses before comparing it to anything else.
What hidden costs should I ask about?
Six, in order of how often they surprise clinics: commission or transaction fees on payments, membership plans and store sales; a separate charge for the patient-facing mobile app; per-message charges for SMS and WhatsApp reminders; a one-time onboarding or data-migration fee; annual price escalation written into the contract; and a fee to export your own data when you leave.
Does a dental clinic actually need a patient mobile app?
It depends on where your patients come from. If most of your bookings arrive by phone call and walk-in, practice management software alone may be enough. If you want patients booking themselves outside clinic hours, receiving automatic reminders, buying aftercare from you rather than the chemist, and renewing an annual care plan without being chased, that behaviour happens in an app on their phone — not in software that only your front desk can see.
Is it cheaper to build a dental clinic app or subscribe to one?
Subscribing is cheaper in year one and more expensive in every year after. A custom dental app quoted from scratch in India typically runs ₹2.5 lakh to ₹8 lakh depending on scope. A productised build such as Nova sits at ₹90,500 because the dental product already exists and each clinic is a configuration rather than a project from zero — which is what moves the break-even point to under six months at a ₹18,000 monthly subscription.
What does ₹90,500 for an owned dental app include?
An iOS app, an Android app, a patient web app and an admin console — all published under your clinic's name — covering booking, reminders, waitlist auto-fill, a clinic store and pharmacy, promotion campaigns, annual and family membership plans, patient records and charting, staff attendance and a multi-branch owner console. Maintenance from ₹1,500 a month is required and covers hosting, backups, security patching and store re-submissions.
